VolunteerSign-Up to Volunteer!

Volunteers are the lifeblood of any event, and this is especially true of the Sam Costa Half Marathon and Quarter Marathon. We need over 100 volunteers to give their time to help with the following tasks/duties:

Aid Stations

#1 - #4:
Pre-race table preparation, provide drinks to participants during the race and clean-up afterward.

Race Sentries

On-Course Race Sentries:
Direct runners to keep them on the course, keep an eye on traffic, and cheer.

Other Outdoor Activities on Race Day

Course Set-up and Tear Down on Saturday:
Drop off tables and equipment for each aid station. Pick-up all course marking, directional signage, mile-marker, and aid station supplies as last runners finish.

Parking Lot Management:
Place cones around the parking lot prior to the race. Manage traffic in the parking lot, particularly around the start/finish. Assist with keeping runners in the correct chute as they approach the finish line.

Friday Events

Friday Morning Supply Gathering:
Gather supplies from the Indy Runners/Walkers storage unit (52nd/Monon) and transport to Northview Church. Gather supplies from other locations and pick up food.

Friday Afternoon Cooler Cleaning:
Clean coolers for Aid Stations and fill with water. Load all Aid Station supplies of the truck.

Course Set-up (Friday Evening):
Couse marking, directional signage, and mile-marker set-up the evening before the race.

Friday Night Prep – 1st Shift:
Sort and count apparel. Reconcile against amount ordered. Arrange on racks and in boxes to be transferred to Student Center.

Friday Night Prep – Late Shift:
Move shirts and supplies to Student Center. Set-up the Student Center (tables, signs, vintage shirts, race shirts, etc.). Note where things were prior to set-up so that we can put the Northview items back in their proper places.

Pre-Race in Venue

Pre-Registered Packet Pick-up (Saturday Morning):
Pre-Registered packet pick-up and shirt distribution.

Race Day Registration (Saturday Morning):
Need 2-3 cashiers and several other people to assist with label creation for race shirts.

Vintage Shirt Sales – pre-race:
Sale of Vintage shirts prior to race.

Information Center:
Help participants and volunteers with all questions pertaining to the race. Help participants change races or fix errors on their registration.

Volunteer Check-in (Saturday Morning):
Check-in volunteers as they arrive and hand out shirts. Remind each volunteer of their assignment for the day as some may have changed.

Post-Race in Venue

Individual Race Results and Finish Medal Distribution:
Hand out personal race summaries. Provide finishing medal to participants who ordered one AFTER the show their IRR.

Post-Race Race shirt distribution and Vintage Apparel Sales:
Organize undistributed race shirts and match with labels. Pass out race shirts with labels. Sell Vintage apparel. Help pack up signs and apparel after the awards ceremony.

Refreshments at Finish:
Provide drink and snacks to all race participants.

Post Race clean-up:
Help take down signs and return chains to appropriate container. Help arrange Student Center the way it was when we set-up Friday night. Assist in cleaning supplies from Aid Stations and loading them in the truck after race.
